We offer gift-cards by which you can personalize a product you order for another person. Information you provide to us to create a gift-card is only used for that purpose, and it is only disclosed to the person receiving the gift.

We use return email addresses to answer the email we receive. Such addresses are not used for any other purpose and are not shared with outside parties.

You can register with our website if you would like to receive our catalog as well as updates on our new products and services. Information you submit on our website will not be used for this purpose unless you fill out the registration form.

We use non-identifying and aggregate information to better design our website and to share with advertisers. For example, we may tell an advertiser that X number of individuals visited a certain area on our website, or that Y number of men and Z number of women filled out our registration form, but we would not disclose anything that could be used to identify those individuals.

In-Room Television & Personal Account Usage Policy

Guests are welcome to access personal streaming services and applications (such as Netflix, YouTube, or other platforms) through the in-room television where available. Use of these services is at the guest’s own discretion and risk.

By using these services, guests acknowledge and agree to the following:

  1. Guests are solely responsible for logging out of all personal accounts prior to check-out.

  2. The hotel does not have access to, nor does it store, guest login credentials or personal account information.

  3. The hotel is not responsible for any unauthorized access or use of guest accounts resulting from failure to log out or from the use of in-room technology.

  4. The hotel does not guarantee the security of third-party applications, internet connections, or devices connected to the in-room television.

  5. Any data or login information entered on the television or connected devices remains the sole responsibility of the guest.

We strongly recommend that guests ensure all accounts are signed out at the end of their stay to protect their privacy and security.

 

Space Rental and Event Block Times

Event spaces may be booked in one of two distinct time blocks:

  • Morning/Afternoon Block: 8:00 AM – 4:00 PM
  • Evening Block: 4:00 PM – 11:59 PM

The contracted event, including setup, event time, and teardown, must take place within the reserved time block. Accommodations for early access or extended access beyond the contracted block may be available upon request and are subject to venue availability and approval by The Inn on Officers’ Garden.

Any approved extension of venue access will result in an additional $1,000 per hour added to the minimum spend requirement outlined in the contract. Alternatively, for events that do not have a minimum spend requirement, an additional room rental fee of $250 per hour will apply.

Clients requiring access to both event blocks may be required to reserve the full day and meet the applicable minimum spend and/or room rental requirements.

Event Manager
60 minutes of meeting time with the Event Manager, or other member of The Inn Management, to discuss details of the event. Additional time may be requested for a fee of $50 per hour. 

Hotel Booking & Liability Notice
Hotel bookings are separate entity from the event and the event contract. The Client can book accommodations directly through our website: www.theinncalgary.com . The hotel is not responsible for any lost or misplaced items in guest rooms or within the event space. We recommend that all personal belongings be kept secure at all times.

Banquet Event Order
The Banquet Event Order (BEO) will be reviewed and approved by the Client at least 30 days prior to your event start date. The BEO will be created based on the clients’ direction. Additional services and/or products may be requested by the client at least two weeks prior to the event. Additional requests will be reviewed and added with an additional cost at the discretion of The Inn team.  BEO Revisions: The Events Team will accommodate up to three (3) updates to the BEO. A service fee will apply for a fourth revision or any further changes. Please ensure all details are reviewed and confirmed before submission.

Accessories
Any and all accessories, including Audio-Visual equipment’s, provided by The Inn must be requested and paid for by The Client, as specified and agreed upon in the BEO, which will be created and signed by the Event Manager. 

Provided Documentation
All documentation created and provided to Client is owned by the Vendor and cannot be used or given to any other 3rd party.

Liability
It is understood that the Vendor is only liable for services completed and provided by the Vendor and cannot be held liable for the services of third-party vendors retained by Client. Any third-party vendors must be arranged for by the Client and approved by The Inn on Officers’ Garden.

Cancellation Policy
If the event is canceled with written notice and confirmation from a member of The Inn team, a 50% refund of the deposit will be issued. However, if the event is canceled less than 90 days prior to the event date, the deposit is non-refundable. 

In the event of government mandated COVID-19 restrictions on restaurant closure and/or social events, we are offering the option of moving your deposit to an alternative date based upon availability.

Responsibility
Vendor is not responsible for Acts of God, natural disasters, an Act of Government such as a Declaration of National or local emergency, or other incidents not within the control of the Vendor, i.e. accident, death, illness, or sudden tragic circumstances.

Damages and Losses
The Client agrees to exercise all due care in the preservation of the The Inn’s property, accessories, and all other products, spaces, and equipment provided by the Vendor. Clients shall be financially responsible for any destruction, damages, or losses to the property and accessories of the Vendor, up to and including actual repair or replacement as per the Vendor’s discretion. The Client is also financially responsible for any damages and losses incurred by guests and third-party vendors contracted by the Client. The hotel does not take any responsibility for event decorations. All decorations must be arranged, set up, and removed by the guest or their designated decorator. The hotel will not be held accountable for any lost, stolen, or damaged decorations, including but not limited to cake stands, centerpieces, or other decorative items.  

Gazebo and Garden Rental Fee
The rental fee for the gazebo is $500.and Chairs are available for rental at $5 per chair 
 
Furniture Moving  and Set up Fee
For events requiring furniture rearrangement and/or setup within the event space, a Furniture Moving Fee and/or Setup Fee will apply. This fee covers the labor and time required to arrange, move, or reset furniture according to the specific needs of your event. Fees start at $250 and will vary based on the scope of the requested changes; all fees must be confirmed prior to the event. This fee applies to all areas of the venue including Garden/Gazebo. If the client chooses to use multiple venues or requires different setups in separate venues, this fee will be applied to each venue individually.

Room Flip Fee 
This fee applies when an event requires a room to be converted between two different setups within a short timeframe. For example, transforming a room from a Theater setup to a banquet arrangement, or resetting it for a new event, involves additional labor, time, and resources. The fee starts at $250 and will be determined based on the extent of the changes requested. It must be finalized prior to the event.

Overtime Fee 
Additional unplanned and/or un-contracted services and time outside the scope of the original contract will be added to the charges. The Client will be charged at a minimum rate of $250 per hour.

Payment
At the time of signing the contract, a 25% deposit of the minimum spend will be required to secure the function space. A 20% service charge and 5% GST will be added to the final bill. Both the GST and service charge are not included in the minimum spend. 

One hundred percent of the estimated total bill is due 14 days prior to the scheduled start of the event. The remaining balance, if any, must be settled before departure or on the day of the event.

For incidentals and day-of-event charges, a completed credit card pre-authorization form is required. It is the client’s responsibility to ensure the credit card is valid and has sufficient funds to cover the final bill. An agreed-upon pre-authorization hold will be placed on the credit card on the day of the event if significant incidentals or charges are expected.

Event Cancellation by Hotel Policy
The Venue reserves all the right, at its sole discretion, to terminate this Agreement and cancel the Event by providing a minimum of ten (10) days’ written notice to the Client. In the event of such cancellation, the Venue will refund all amounts paid by the Client, including the deposit, within fifteen (15) days of termination. The Venue shall not retain any portion of the deposit or other payments, except for reasonable, documented, and pre-approved expenses incurred specifically for the Client’s Event. Any such expenses will be itemized and provided to the Client upon request.

Client Event Cancellation Policy
If the client chooses to cancel the Event within five (5) business days prior to the scheduled event date, one hundred percent (100%) of the estimated total amount, as outlined in the Banquet Event Order (BEO), will be charged in full. This amount will include all applicable taxes and service charges and will be charged to the credit card on file.

Behaviour and Conduct
The Client agrees to maintain a professional and courteous working relationship with all members of The Inn team. In the event of circumstances deemed to present a threat or implied threat of injury, verbal or physical harassment, ill-mannered language or behavior toward other patrons or any member of The Inn staff, the Vendor reserves the right to stop all work for the Event. The Client agrees to relieve and hold the Vendor harmless as a result for incomplete services under this Agreement, or for a lapse in the quality of the Vendor’s work. The Client shall be responsible for payment in full.

Pricing
All prices are subject to change due to market conditions and at the discretion of The Inn on Officers’ Garden. The client will be notified of any pricing changes at least 30 days prior to the event to discuss the options available to the client.

Food and Beverage
The Inn on Officers’ Garden is the sole supplier of all food and beverage items. This includes wedding cakes, party favours, and any beverages.


If the Client, or the Clients’ guests bring in any outside food or beverages, the equivalent charges will be added to the Client’s bill.


If the Client, or the Client’s guests, bring in and consume any outside alcohol, the alcohol will be confiscated, and the guest will be cut off from any further alcohol service immediately. If numerous or repeat outside product consumption occurs, The Inn team reserves the right to stop ALL alcohol services immediately and/or terminate the event.

Dietary Restrictions and Menu Selection
We can accommodate special dietary needs with appropriate notice. Please discuss any requirements with a member of The Inn team. Please note that our building is not nut-free, gluten-free, or shellfish-free. Allergies can be accommodated, but as an additional safety measure, we will require all guests with severe allergies to carry an EpiPen with them.

Confirmation of food selection is required 2 weeks prior to an event.

Custom Cakes
Any custom cakes required for an event will be made in-house by our amazing Pastry Chef Carly.  A consultation will be arranged and price determined based on choice and approved with the Pastry Chef and the Client. The cake will be included in your minimum food and beverage spend.

Event Attendees
The Client is responsible for providing an expected and guaranteed guest count 2 weeks prior to the event. If the expected guest count increases or decreases within 2 weeks, please inform a member of The Inn team. You will be charged for your confirmed, guaranteed number of guests.

Detailed Planning
The Client is fully responsible for providing instructions to The Inn with regards to details of the event including timelines, menu selections, space set up, and any other requirements for the day. These instructions will be finalized 2 weeks prior to the event. Any instructions provided less than 14 days prior to the event may incur additional charges.

Staffing
The Inn on Officers’ Garden will provide an appropriate number of staff for the event. This is up to the discretion of the The Inn’s management. Should you desire specific, increased staffing levels, accommodations will be made when possible, at an additional expense to the client.

Bartender charge of $250 for maximum  of 8 hours will be applied to the final bill. We recommend one bartender per 50 guests.

Cash Bar Service All beverages purchased through the cash bar will be subject to a 20% gratuity and 5% GST, which will be applied to each individual drink charge.

Date  & Venue Change Policy:
Any request to change the contracted event date and/or event space is subject to venue and event space availability. A non-refundable administrative fee of $500.00 will apply to all approved date and/or venue changes. If the requested new date falls on a different day of the week, season, year, and/or is moved to a different event space or venue location, the applicable minimum spend requirements, rental fees, and pricing for the new date and/or space will apply, even if they differ from the original contracted terms.

All approved date changes must occur within the same calendar year as the original event date and must be rescheduled to a date occurring within three (3) months of the original contracted event date. Requests for a date change and/or venue change must be submitted no later than 120 days prior to the scheduled event date. All deposits and payments received will be transferred to the revised event date or venue space; however, no refunds, credits, or reductions will be provided if the new date or venue space has lower pricing, rental fees, or minimum spend requirements than the original contract. All date and venue change requests must be submitted in writing and approved by The Inn on Officers’ Garden. The administrative fee must be paid prior to confirmation of the new date and/or venue space. If the requested date or venue space is unavailable, the original contract terms will remain in effect, or the request may be treated as a cancellation and become subject to The Inn on Officers’ Garden’s Cancellation Policy.

Music
All live and recorded music will conclude no later that 11:59 p.m. the day of the event. If you’d like to extend this time, please see the above sections on Space Rental and Overtime.

Liquor Service
All liquor service will cease at 11:59 p.m. the day of the event. The last call will be no later that 11:45 p.m. If you’d like to extend this time, please see the above sections on Space Rental and Overtime.

As per company policy, guests are not permitted to drink or carry their alcoholic beverages in front of the hotel entrance.

Decorations
The hotel does not take responsibility for any event decorations. All setup and teardown must be arranged by the guest or their chosen decorator. The hotel is not liable for any lost, stolen, or damaged décor items, including (but not limited to) cake stands, centerpieces, or other decorative elements.

Onsite Contact & Authorized Representatives
The onsite contact, as well as members of the bridal party and groomsmen, are authorized to request or approve changes during the event. Any such changes will be considered approved on behalf of the main client and will be deemed final.

Heritage Site Requirements
As we are a heritage site, smoke machines, dry ice machines, bubble machines, candles, sparklers, any open flames, confetti, glitter, and helium balloons are not permitted at The Inn on Officers’ Garden. The use of nails, tacks, and double-sided tape are also not permitted in any of the spaces. Charges will apply as a result of damages caused by using any of these items.

 

 

Smoking Policy

Detection of Smoking

The hotel may determine that smoking or vaping occurred based on:

  • Odour of smoke or vape residue
  • Burn marks, ash, or cigarette debris
  • Guest or staff reports

Smoking Violation Fee

A minimum $350 cleaning fee will be charged for any evidence of smoking. Higher charges may apply if additional smoke remediation is required.

Room Cleanliness & Damage Policy

Guests are expected to maintain a reasonable level of cleanliness and avoid damage beyond normal wear and tear.

Charges may apply for:

  • Excessive garbage accumulation
  • Strong food contamination or waste
  • Pet messes (where pets are allowed)
  • Intentional or negligent staining of linens, carpets, or furniture
  • Bodily fluids or other biohazards

Cleaning Fees

  1. Basic excessive cleaning: starting from $250+
  2. Severe contamination or damage: billed at full remediation cost to the guest

Housekeeping Services

The Housekeeping Department is committed to ensuring a pleasant and comfortable stay.

  1. Room service hours: 8:00 a.m. to 6:30 p.m.
  2. Rooms are serviced after the 3rd night of stay
  3. During service hours, staff may enter rooms requiring housekeeping

Guest Requests

  1. Towel refreshes and garbage removal can be requested at any time
  2. A “Do Not Disturb” sign is available for privacy

Outside of housekeeping hours, the Front Desk will do its best to accommodate special requests.
